Experienced Legal Administrative Assistant / Paralegal - Hybrid |

Job Requirement:
Our client, a busy litigation law firm, is seeking an experienced Legal Administrative Assistant who will also have paralegal responsibilities to join their team. In this role, the successful candidate will play a crucial part in managing and coordinating all aspects of legal files, ensuring efficient processes, and supporting clients. This role involves deep involvement in the legal process, from participating in client meetings and transaction calls to assisting with marketing and business development initiatives.
Key Responsibilities:
- Litigation Support:
- Draft preliminary correspondence and legal documents under supervision.
- Prepare, file, and manage documents for courts, boards, tribunals, and other administrative bodies.
- File documents in court registries, including electronic filing.
- Produce and prepare hard copies of documents for hearings, trials, and court use.
- Liaise with clients, courts, and opposing counsel.
- Schedule examinations for discovery, trials, and hearings.
- Maintain a bring-forward system of deadlines and limitation dates.
- Understand different court levels and research and apply court rules.
- General Administration:
- Revise documents based on lawyer markups.
- Assist with client intake and track outstanding deliverables and client signatures.
- Coordinate day-to-day tasks such as scheduling, ordering couriers, and arranging client gifts.
- Team Organization:
- Proactively prepare “next steps” for the team and hold them accountable to procedures.
- Create and improve processes to streamline workflows.
- Help plan and execute marketing initiatives, including blogs and webinars.
- Source and implement tech solutions to better organize tasks and deadlines.

The ideal candidate is a confident, proactive individual who takes ownership of their work, provides excellent service, and anticipates needs. They should be detail-oriented and flexible, excelling in managing tasks independently while mastering tech tools and seeking automation to boost efficiency.
Experience and Qualifications:
- Graduate of a legal administrative assistant program with 6+ years of experience in litigation.
- Experience with eDiscovery software platforms is preferred.
- Formal paralegal training (or an interest in pursuing it) is an asset.
Compensation and Benefits:
A reasonable estimate of the salary range for this role is CAD$75,000 - $87,000, depending on experience and education. The role includes a competitive bonus program, 100% employer-paid benefits, and various other perks. This position offers ahybrid structure, with in-office presence required three days a week.
