Brief Description:

Our employer is seeking someone who will be responsible for monitoring and updating the refugee waitlist, determining program eligibility, and providing information and service referrals.

Job Function:

This position is the first point of contact for refugee related inquiries, including responding to administrative needs of the refugee team internally and externally. The incumbent will also be responsible for implementing administrative procedures and establishing work priorities for the intake function. This position is a full time contract position, offering the flexibility to work both remotely and in person at the offices.

 

Responsibilities:

  • Respond to the day-to-day enquiries related to the PSR Program.
  • Provide general information about the Private Sponsorship of Refugees (PSR) Program.
  • Conduct professional intake of clients, including initial needs assessment and eligibility screening, while maintaining strict confidentiality.
  • Manage the refugee waitlist and update family information as needed.
  • Perform an initial priority grading for sponsorship.
  • Facilitate appropriate internal and external referrals to services.
  • Collect required documentation from clients and volunteers, perform program registration and data entry.
  • Ensure all services provided are recorded and reported daily as per agency and funders requirements.
  • Maintain accurate and timely client-related documentation and records.
  • Open client files on JIAS database (Salesforce).
  • Prepare and submit timely statistical and progress, and other reports.
  • Identify and monitor trends and shifts in requests for sponsorship and identify priority areas.
  • Understands legislation and government prescribed procedures, regulations and standards of JIAS programs.
  • Other duties as assigned or required.
Job Requirement:

  • Post-Secondary Diploma in Social Services or a related field.
  • Experience working with newcomers and refugees is considered a strong asset.
  • Proficiency in using data and case management systems (Salesforce).
  • Understanding of the challenges affecting immigrant and refugee communities.
  • Advanced skills in Microsoft Office and familiarity with social media platforms.
  • Exceptional English communication skills, both oral and written.
  • Strong organizational abilities with the capacity to multitask while maintaining accuracy in data management and reporting.
  • A detail oriented mindset is a must.
  • Demonstrated ability in cross-cultural and interpersonal communication.
  • Ability to work independently in a fast-paced environment and meet deadlines.
  • Fluency in languages that relate to the Agency client base will be considered an asset such as Hebrew, Russian, Arabic, Tigrinya, Farsi, Kurmanji, Pashto and Dari.
