Our employer is a PPE manufacturer looking for an individual to be responsible for order planning, continuous supply, order monitoring, and maintaining good vendor relationships. This position supports customer service, logistics, Inventory, accounting and other departments as needed.

Job Function:
Order Management:
- Creating, processing, and managing purchase orders based on the company's needs.
- Ensuring that orders are accurate, complete, and delivered on time.
- Tracking orders and managing any changes or cancellations.
Supplier Selection and Evaluation:
- Identifying and researching potential suppliers and vendors.
- Assessing supplier reliability, pricing, and quality standards.
- Maintaining a list of approved suppliers for regular purchases.
Negotiation:
- Negotiating prices, delivery times, and terms with suppliers.
- Ensuring that the terms of the contract are beneficial for the company and align with its budget.
Inventory Management:
- Collaborating with inventory or warehouse teams to monitor stock levels.
- Ensuring that necessary materials and supplies are ordered in a timely manner to prevent shortages.
- Helping to manage stock to prevent overstocking or wastage.
Quality Control:
- Ensuring that purchased goods meet the required quality standards.
- Inspecting received goods to check for any discrepancies or defects.
- Coordinating with suppliers for returns or replacements when necessary.
Cost Management:
- Monitoring and controlling costs to stay within budget.
- Identifying opportunities to reduce purchasing costs while maintaining quality and standards.
- Looking for alternative sources or suppliers that may offer better prices or terms.
Documentation and Record Keeping:
- Maintaining accurate records of purchases, supplier communications, and inventory levels.
- Ensuring that procurement documents are filed and easily accessible for future reference or audits.
Coordination with Internal Teams:
- Collaborating with other departments (such as finance, operations, or production) to understand their purchasing needs.
- Communicating any delays or issues with suppliers to internal teams and keeping them informed.
Compliance:
- Ensuring that purchases comply with the organization's policies and any legal or regulatory requirements.
- Adhering to ethical sourcing practices and ensuring that suppliers meet sustainability or ethical guidelines, when applicable.
Problem-Solving:
- Addressing any issues that arise with deliveries, quality of goods, or supplier performance.
- Resolving discrepancies in orders or invoices and working to resolve supplier disputes effectively.
Business Improvements:
- Drive continuous improvement projects with assigned vendors.
Other:
- All other duties as may be assigned.

Job Requirement:
- Fluent in English (oral and written)
- Post-Secondary degree/diploma in Supply Chain Management, Business Administration and/or related discipline
- 3-5 years Materials Management and Purchasing experience
- Demonstrates the ability to pay very close attention to detail and immediately notice any discrepancies regarding inventory and finances
- Shows the ability to solve complex problems individually and quickly
- Possesses the ability to create solutions to previously unsolved issues
- Must be able to communicate well with others to implement inventory control plans
- Demonstrates the ability to work well with computers and maintain databases effectively
- Shows professionalism, particularly when working with clients and customers or other departments within the company
- Possesses strong written communication skills for the creation of reports
