Job Function:

The Israeli Programs Administrator is an integral part of the Events and Cultural Arts team, providing a strong administrative backbone to the department which focuses on curating and implementing high-end cultural arts and Israel engagement programs and partnerships. Our Israeli Programs Administrator should be able to efficiently handle multiple tasks simultaneously, even under high pressure situations, while maintaining a keen attention to detail. Adaptability and the ability to multi-task and think on their feet are essential. Exceptionally strong administration and organization skills, combined with sales and customer service prowess and fluent communication in English and Hebrew would allow one to excel in this role. Being willing and able to work a flexible schedule including evenings and some weekends where needed is essential (we do provide for an adjusted day/lieu time).

 

Handle multitude of administrative tasks related to booking and executing Israel Engagement Programs and Events including:

  • Negotiate, prepare, administer, and monitor contracts and agreements with talent, agencies, and other parties involved in delivering programs and activities.
  • Arrange room booking, permits, equipment and rental supplies,
  • Process vendor payments/invoicing
  • Coordinate security for events
  • Arrange floor plans, food and decor, set up and tear-down schedules
  • Coordinate, schedule and supervise volunteers who are assisting at events
  • Send invitations and follow up to maximise event attendance
  • Assist with marketing briefs and follow up on materials
  • Assist with fundraising and sponsorship tracking

Provide excellent customer service and build relationships with participants, including:

  • Fostering relationships with community members, event attendees, artists and donors
  • Maintaining and managing participants database
  • Collecting feedback to better understand community needs and improve program engagement

Assist with program development and implementation, including:

  • On-site front-of house responsibilities
  • Evaluate current programming and events to ensure the high quality
  • Develop relationships with event attendees and artists to increase engagement and retention and gain an understanding of their needs to actively promote a comfortable, accessible, and welcoming environment.
  • Assist with large community events.

Job Requirement:

  • At least two-three years' experience in customer service and administration.
  • Established connections with the Israeli and Jewish communities in Vaughan & North York.
  • Fluent Hebrew and English (verbal and written).
  • Empathy, patience and tact.
  • Very strong organization and technical skills (Canva, Excel, Word, PowerPoint, CRMs including Club Automation and Eventbrite).
  • Experience in not-for-profit environment an asset
