Brief Description:

Our employer is a Jewish day school. They are looking for an individual to support the planning, administration and daily operations of multiple school-based supplemental programs, including various programs such as After 4, Hot Lunch Food Program, and building rentals. This role ensures smooth program delivery by coordinating staffing, registration, communication, vendor relations and on-site support. The Coordinator will work collaboratively with school staff, vendors and families to maintain high-quality programming. This is a part-time position from January - June 2026 with the opportunity to extend for the full year.

Job Function:

Program Oversight and Administration

  • Oversee all aspects of the program to ensure smooth daily operations.
  • Manage staffing schedules and staff communications.
  • Assist the Supervisor in overseeing Grade 8 Assistants, including scheduling and payroll coordination.
  • Assist the Director, Supplemental Programs with registration setup and system updates for and After 4.
  • Assist the Director, Supplemental Programs with responding to parent communications, including complaints, inquiries and requests for program changes.
  • Liaise with the Supervisor to ensure all program materials are ordered and available.
  • Support the identification and evaluation of new program offerings and the review of existing programs for After 4.
  • Responsible for accurate attendance monitoring for each After 4 program.

Food Program (Himel) Vendor and Registration Coordination

  • Liaise with food vendors to confirm lunch schedules and program details.
  • Manage all registration setup using the Hot Lunches platform.
  • Communicate registration timelines, deadlines and reminders to parents.
  • Organize the distribution of lunches and ensure timely delivery.
  • Create and prepare labels for lunches.

  • Strong attention to detail and accuracy, especially with registration, payroll, and documentation.
  • Excellent written and verbal communication abilities.
  • Previous experience using registration or program management software is considered an asset.
